Privacy Policy
What we collect, why, and how we protect it.

This Privacy Policy explains how North Carolina Transaction & Listing Coordination (NCTLC) ("we," "us," "our") collects, uses, and protects information when you visit nctlc.com or use our transaction coordination services, including the client portal at os.nctlc.com.
Information we collect
- Contact information you provide: name, email, phone number, brokerage, and details about real estate transactions you engage us to coordinate.
- Lead-magnet submissions: name, email, and role when you request the Free TLC Audit or Hiring Guide.
- Transaction data: property addresses, closing dates, contract terms, and related documents you provide for coordination.
- Account data: hashed passwords, session identifiers, and activity logs when you use the client portal.
- Usage data: IP address, browser user agent, and request timestamps for security and operations.
How we use your information
- To provide transaction coordination services, including document tracking, deadline reminders, and party communication.
- To deliver the free resources (TLC Audit, Hiring Guide) you request.
- To send the messages you have opted in to receive (email, SMS) about your transactions or the resources you requested.
- To operate, secure, and improve our website and client portal.
- To comply with legal, tax, and recordkeeping obligations.
SMS / text messaging
We send SMS only to individuals who have explicitly opted in, either by:
- Submitting the dedicated SMS opt-in form at /sms-opt-in/,
- Toggling "SMS reminders" on in the client-portal Settings page, or
- Texting START to our messaging number.
When you opt in, we record the date, time, IP address, and the exact consent language you agreed to. You can opt out at any time by replying STOP to any text; we will send a single confirmation message and stop all further texts. Reply HELP for assistance or email info@nctlc.com.
Message frequency: varies by how much activity your files have — typically 2 to 10 messages per active transaction, plus occasional informational updates. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
We do not share, sell, lease, or rent the phone numbers of SMS opt-in subscribers to third parties or affiliates for any purpose. The only exception is operational service providers (for example, Twilio, our SMS carrier) who process messages on our behalf under contract.
How we share information
We share information only with:
- Parties to your transaction — agents, brokers, lenders, title/attorney, inspectors, HOAs — strictly to coordinate the file you engaged us for.
- Service providers who process data on our behalf, under confidentiality obligations: email delivery (SendGrid), SMS delivery (Twilio), cloud hosting, and analytics.
- Legal authorities when required by subpoena, court order, or applicable law.
We do not sell your personal information. Mobile opt-in data and phone numbers are not shared with third parties for promotional purposes.
Data retention
Transaction files are retained according to North Carolina real estate recordkeeping requirements and our internal retention policy (typically seven years after closing, longer if required by law). Marketing and lead-magnet data is retained until you ask us to delete it. You can request deletion by emailing info@nctlc.com.
Your choices
- Email. Every marketing email includes an unsubscribe link. Transactional emails (about a file you engaged us to coordinate) will continue until the file is closed.
- SMS. Reply STOP to any text. We will confirm and stop sending.
- Account. Contact us to update, export, or delete your account data.
Security
We protect information with industry-standard measures: TLS in transit, hashed passwords, restricted access, and server-side logging. No method is 100% secure, but we act reasonably to safeguard what you entrust to us.
Children
Our services are not directed to children under 18, and we do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. Changes become effective when posted to this page, with the "Last updated" date revised. Material changes will be communicated to active clients by email.
